Why this template matters

Fixed-price invoices hide the workings; time-and-materials invoices must show them. When you bill for hours worked and materials used, the customer cannot sanity-check a single bottom-line figure — they need to see the hours, the rates and the materials that built it. An itemised T&M invoice that lays out the detail is approved; a lump sum labelled 'works as discussed' is queried.

How to use it

Split the invoice into labour and materials, and within labour show the date, task and hours for each entry. Dated, described time entries are what let a customer match your invoice to the work they saw happening — vague 'consulting, 13.5 hrs' invites the very query the detail is meant to avoid. State the rate explicitly and reference where it was agreed.

For materials, show them at the basis you agreed — at cost, or at cost plus a stated mark-up — and itemise rather than bundle. Reference the quote or job number so the rates tie back to something accepted. Where the work runs against a purchase order, quote the PO number so it routes through the customer's approval cleanly.

Controlling T&M disputes before they start

The two things that derail a T&M invoice are surprise totals and unclear rates. Pre-empt both: agree the hourly rate and the materials basis in writing before the work, and if a job is heading well past expectations, flag it before you bill, not in the invoice. A customer warned of a growing bill argues far less than one ambushed by it.

Keep contemporaneous records — a simple timesheet and materials log as you go — so your invoice is built from evidence, not reconstructed from memory. If the customer queries a line, you can point to the record behind it.
