A receipt closes the loop. It confirms what was paid against which invoice, and stops 'I already paid that' from becoming a dispute.

Why this template matters

An invoice asks for money; a receipt confirms it arrived. Issuing receipts is the habit that prevents the most tedious of disputes — the customer who insists they have paid when your ledger says otherwise. A clear receipt, matched to a specific invoice, settles that conversation in seconds because both sides are looking at the same reference.

Receipts also tidy your own books. Each one ties a payment to the invoice it clears, so reconciliation is fast and your debtor list stays accurate. For part-payments especially, a receipt that shows the remaining balance keeps everyone honest about what is still owed.

How to use it

Issue a receipt as soon as a payment reconciles, and always tie it to the invoice number it settles. Record the method (EFT, BPAY, card) and any bank reference, so that if the payment is ever queried by either bank you can trace it. Give each receipt its own number — receipts are part of your audit trail too.

For a part-payment, show the amount received and the balance remaining in plain figures, then keep chasing the remainder on your normal cadence. The receipt is not an excuse to stop following up — it simply records what has landed so far. Match each receipt back to your ledger and the statement of account will always reconcile cleanly.

FAQ

Am I required to issue a receipt?

Customers can request proof of a transaction, and issuing receipts is good practice regardless. It protects you against 'I already paid' disputes and keeps your reconciliation accurate.

What if the payment only partly covers the invoice?

Record the amount received and show the remaining balance on the receipt, then continue your reminder cadence on the unpaid portion. A part-payment receipt is not a settlement of the whole invoice.

Is a tax invoice the same as a receipt?

No. A tax invoice requests payment; a receipt confirms it was made. They serve different purposes and you generally issue the invoice first, then the receipt once paid.
